How to Edit an AI Draft Without Losing Your Brand Voice

Edit an AI draft in focused passes using Studio Global Documents and Brand Voice, with a worked example that preserves facts and removes unsupported hype.

Studio Global AI editorial · Updated

An AI draft can contain the right topic and still sound wrong. It may oversell the benefit, repeat a generic introduction, or remove the qualification that made the original statement accurate.

Edit in separate passes: facts first, structure second, voice third. That order prevents a polished sentence from hiding an unsupported promise.

Studio Global Documents provides a place for longer writing and focused revisions. Brand Voice supplies reusable tone and style guidance. You can use Brand Voice in chat when developing a rewrite, then bring the approved wording into your document; do not assume every editing surface has identical controls.

Define what must not change

Before asking AI to revise a passage, list the approved facts, essential caveats, product names, and source links. Add the audience and desired action.

For an illustrative fictional app, the facts might be:

  • The app groups meeting notes by project.
  • Users can export a text summary.
  • Export is available on the paid plan.
  • The desired action is to view a sample summary.

These facts are invented for the editing exercise and do not describe Studio Global's plans or capabilities.

Pass one: remove unsupported claims

Consider this deliberately flawed draft:

Revolutionize your workflow with the world's smartest meeting platform. Automatically organize every conversation and export unlimited reports for free. Double your productivity today.

The problems are factual, not merely stylistic. “World's smartest,” automatic handling of every conversation, unlimited free exports, and doubled productivity are not supported by the example facts.

Use a constrained review request:

Compare this paragraph with the approved facts below.
Identify unsupported claims and missing qualifications.
Propose a factual revision without adding new benefits or statistics.
Preserve the plan restriction and the intended call to action.
Return the revision and a short explanation of each factual change.

Do not ask for a more persuasive version until the statement is accurate.

Pass two: organize the message

Lead with the reader's task, explain the relevant capability, retain the condition, and finish with one useful next step.

An editorially written revision could be:

Keep meeting notes grouped by project. On the paid plan, you can export a text summary when you need to share the outcome. View a sample summary to see the format.

This is a worked writing example, not an output from an executed Studio Global session. It illustrates how to preserve the facts while removing unsupported hype.

For a longer article, use the same approach section by section. Open Documents, add the draft, and revise focused passages rather than replacing the entire article whenever one paragraph needs work. See the document-editing guide.

Pass three: apply your voice deliberately

Suppose the desired voice is plainspoken, warm, and specific. Define those terms with testable rules: use everyday words, avoid exaggerated superlatives, and keep the action clear.

Select the appropriate Brand Voice in chat before requesting a tone revision. Supply the factual constraints again. The Brand Voice guide explains setup and selection.

Rewrite the approved passage using the selected Brand Voice.
Preserve every factual limitation, source link, and product term.
Offer two versions: direct and conversational.
Do not add urgency, guarantees, new capabilities, or customer results.
Explain any change that could alter the meaning.

Choose the version that sounds natural for the context. A friendly social caption and a policy explanation can share a brand voice without using identical sentence patterns.

Make the final pass yourself

Read the copy aloud. Check that the first sentence earns its place, the main action is clear, and the caveats remain close to the claims they qualify.

Compare the final wording with the approved facts again. Style edits can accidentally turn “can” into “will,” “some” into “all,” or a plan-limited capability into a universal promise.

When AI keeps over-editing, request suggestions instead of a replacement paragraph. Accept only changes that improve the piece. Brand consistency comes from good source material, explicit rules, and editorial judgment—not from making every sentence sound generated by the same template.
